Free invoicing software for UK tradespeople

Last updated: 27 October 2026

In short: Free invoicing software can help you create bills without a subscription, but check document limits, payment fees and which features are included. Word and Excel templates suit occasional invoices; an app can help with repeat jobs and payments. Neither a free invoice nor a free download automatically provides a complete MTD filing workflow.

Free template or free invoice app?

  • Word template: useful for a one-off bill and full control over wording. You enter figures, save copies and track payment yourself.
  • Excel template: useful for itemised quantities and prices with calculated totals. You still manage numbering, copies and payment records.
  • Invoice app: useful for regular jobs, keeping quotes and invoices together and collecting payments. Check limits, exports, VAT support and any paid extras.

Choose based on the work you actually do, not simply the number of features. An editable file can be enough for an occasional job; frequent invoices and repeated customer details can justify using an app.

What does free mean with Fixxa?

Fixxa costs £0 to download, with no subscription or trial period. Your first 10 quotes or invoices combined are free. That means, for example, 4 quotes and 6 invoices use the combined allowance, not 10 of each. To continue using the app afterwards, activate Fixxa Pay, which costs £0 to activate.

Free activation is not fee-free payment processing. Charges apply when customers pay through Fixxa Pay. Check the current pricing section for the full payment terms.

  • Standard UK cards: 2.5% + 20p per payment.
  • Premium UK cards: 2.9% + 20p per payment.
  • Klarna: 5.99% + 35p per payment.

A checklist before choosing free software

  • Is it a permanent free offer, an introductory discount or a trial?
  • How are quotes, invoices, customers and users counted?
  • Are payment processing, reminders, bank feeds or exports chargeable?
  • Can you retain copies of your invoices and access your records if you stop using it?
  • Does it support your VAT position and the information your invoice must include?
  • If you need MTD filing, does the complete workflow support your income sources and HMRC submissions?

What every UK invoice needs

Include a unique invoice number, your business details, customer details, a description of the work, supply and invoice dates, charges and the total owed. Sole traders must include their name and any business name used, with the appropriate address for legal documents. VAT-registered businesses need the additional VAT information. Do not charge VAT if you are not registered.

For trades, add the job address, describe labour and materials clearly, and use the payment terms agreed with the customer. Check the finished invoice before sending, even if software generated it.

Free invoicing software is not automatically MTD software

MTD for Income Tax requires digital records and compatible software for quarterly updates and the annual tax return, either within one product or through suitable digitally linked products. An invoice template is a source record, not the entire reporting system.

Fixxa supports everyday record-keeping with income, expenses, quotes and invoices. Direct HMRC submission is coming soon and is not currently available. Confirm your reporting setup with compatible software or your accountant rather than assuming a free invoice app files your tax.

Start with a job you have already finished

Use a free trade invoice template if you only need an editable bill. Use a quote template when the work has not yet been agreed. If paperwork keeps building up after every job, consider an app to keep the records together as you go. Keep invoices, receipts and payment evidence whichever option you choose.
